Exhibition Procedures – December 4/23
Registration for the exhibit
Each exhibit hangs for a 3 month period. Exhibit dates are the first Friday in March, June, September and December.
Members will be advised of the next exhibit date at our regular monthly meetings. Participation will be sought by sending an email to the membership 6 weeks prior to the exhibit date advising that we are ready to accept registrations for that exhibit. Members will be requested to register for participation using the online Display Registration Form. Registration must be completed within 1 week of the email being sent. This form provides all the information required for labels so an additional process/step will not be required. All 1st submissions will be accepted so that any member that wants to participate in the exhibit will be able to do so.
The registration form includes the information for second pieces, should we not receive enough first pieces to have a fulsome exhibit. If all second pieces cannot be accepted, the committee will evaluate how many pieces are needed. A lottery will be held to choose that number of pieces.
Timeline
Week 6 prior to exhibit – email goes out to members to inform them that we are now accepting registrations for the next exhibit
Week 5 prior to exhibit – registration closes
Week 4 prior to exhibit – decisions are made on acceptance of second pieces
Week 3-4 prior to exhibit – members are informed of acceptance of second pieces Week 3-4 prior to exhibit – members are informed that we are now accepting payment
Week 2-3 prior to exhibit – reminder payment is due 2 weeks prior to exhibit
Fees will be $10.00 for a submission of less than 500 sq inches and $20.00 for a submission over 500 sq. inches.
Paintings must be ready to hang by wire on D-rings attached to the back of the painting.
Information that includes name of artist, as well as title and price of painting should be attached to the back of the painting.
Refunds are not provided for cancellations after fees have been paid or no shows on the day of hanging the exhibit.
Works previously displayed at Western are not eligible for display a second time within a calendar year.
Exhibit Day
Committee arrives at 9:00 am. Artists must pick up their work from the ending exhibit between 10:00 am and 12:00 noon on the date of the new exhibit. Members unable to attend during this time are responsible then to have someone else pick up their art. Artists or their designated pick-up person must sign they have received their art.
Artists must bring their new submissions between 10:00 am and 12:00 noon the day of the new exhibit. Paintings arriving after 12:00 noon will not be accepted.
Hanging of the new exhibit will take place between 12:00 noon and 4:00 pm that same day. The Committee assists with hanging as needed.
Committee members will bring an additional painting on new exhibit day in case there are no shows or space not filled. It is important that the exhibit is fulsome and complete in order to satisfy the professional relationship with Western and the professional look of the exhibit.
Sales
Sales within the exhibition period will be accommodated at our regular monthly meeting where members can pick up a painting that has a sale pending and replace that painting with a new piece.
Committee duties
The Chair will prepare meeting agendas and chair committee meetings. Committee members actively participate in committee meetings and take on specific duties as needed. All members assist on new exhibit days with the taking down of the old exhibit and the hanging of the new exhibit.

Display Submission Form
We will request payment be made immediately after all registrations are complete and we have determined whether we are able to accept your second piece (depends on amount of available space). Please do not remit payment until asked to do so.
When requested, payment is to be remitted to the Treasurer – Joan Hall by e-transfer sent to treasurer@londoncommunityartists.ca. For alternate payment arrangements please contact Joan Hall via the same email address.
Artwork Guidelines: This is a corporate setting, so work should be acceptable for public viewing by all ages. No nudity, politics, religion or violence please.
